How to run this meeting

  1. Start on time and finish early

Morning meetings only work if people can get to work after. Announce the hard stop, and aim to finish five minutes early.

  2. Choose food that does not slow the room

Pick items people can eat with one hand, such as fruit, yoghurt and pastries, and ask about dietary needs in the invite. Skip anything that needs a knife and fork.

  3. Keep it to one decision

A breakfast has about 30 minutes of real discussion. Pick the single decision that needs a group and handle everything else by message.

  4. Send notes before the first meeting of the day

People forget breakfast conversations by 10 am. Send the decisions and actions the same morning while they are fresh.

Eat breakfast, skip the note taking

A one-hour meeting with food and coffee is hard to type through. Speak AI records the meeting and writes the notes, so everyone can stay in the conversation.

  • Record on Zoom, Google Meet or Microsoft Teams if some people are remote, or upload a room recording.
  • Get a transcript with speakers labelled, so each commitment has a name next to it.
  • Get an automatic summary of the decision and the discussion behind it.
  • Get action items with owners and dates to send before the working day begins.

Frequently asked questions

What should be on a morning meeting agenda?

A short welcome with the goal and end time, quick wins from the team, one main topic, blockers and requests, a read-back of decisions and actions, and the next meeting date. Keep it to one decision.

What are some good food ideas for a meeting breakfast?

Choose food people can eat while talking: fruit, yoghurt, pastries, bagels, egg wraps and coffee or tea. Offer vegetarian, vegan and gluten-free options, and have the food ready before the meeting starts.

How do you do an agenda for a meeting?

State the goal, list each item with a time, name who leads it and add the outcome you need from it. Share it before the meeting so people arrive ready, and make sure the times add up to the slot you have.

What is Robert's rule for a meeting agenda?

Robert's Rules of Order set a formal order: call to order, minutes, reports, old business, new business, then adjournment. It suits boards and committees. A breakfast meeting is usually informal and can use a shorter agenda.

How long should a breakfast meeting be?

Forty-five to sixty minutes. Start with 10 minutes for arrival and food, spend about 30 minutes on one main topic and decisions, and leave a few minutes to close so people reach their desks on time.
