How to run this meeting

  1. Send a pre-read and a one-line theme

Share results, any survey summary and the theme a week before. People should arrive having thought about the question, so the day is for discussion, not for reading.

  2. Put the hard work in the morning

Strategy and prioritising need fresh energy. Schedule them before lunch, and use the afternoon for planning, team time and commitments.

  3. Use small groups and a facilitator

Groups of three or four get more voices heard than one big circle. Use a facilitator who is not the team lead, so the lead can take part.

  4. End with commitments and a date to check them

Offsites fail when the energy disappears by Monday. Get each person's commitment out loud and book the checkpoint before anyone leaves.

Keep the ideas from the whiteboard and the room

A full-day offsite produces far more talk than anyone can type up. Speak AI records the sessions you upload or join online and gives you a summary and action list per session.

  • Record sessions on Zoom, Google Meet or Microsoft Teams for remote attendees, or upload audio from the room.
  • Get a searchable transcript with speakers labelled, so any idea from the day is easy to find.
  • Get an automatic summary of each session: review, strategy and commitments.
  • Get action items with owners and dates pulled out, ready to turn into goals after the offsite.

Frequently asked questions

What are typical offsite agenda items?

A welcome and ground rules, a check-in, a review of past results, a strategy session, lunch, a planning session for top priorities, team time on how you work together, commitments, and a close with feedback.

How to structure a team offsite?

Open with the purpose and a warm-up, do strategic thinking in the morning, break for a real lunch, plan priorities and team time in the afternoon, and finish with commitments and owners. Keep sessions to 60 minutes or less.

What should be avoided during offsite meetings?

Avoid back-to-back presentations, no clear outcome for the day, back-to-back sessions without breaks, and the team lead dominating discussion. Also avoid ending without owners and dates for what was agreed.

Is there an offsite agenda template in Word?

This page gives the agenda as copyable text, so you can paste it into Word, Google Docs or any notes tool. Copy the table, add your theme and venue, and replace the examples with your own.

How long should an offsite meeting be?

A one-day offsite of about six hours, including a real lunch, works for most teams. Anything longer needs an overnight stay and a lighter second day. Shorter than four hours rarely leaves time for both strategy and commitments.
