How to run this meeting

  1. Send the agenda and the numbers first

Share this agenda and the delivery report 24 hours ahead. People who have read the results do not need the first ten minutes to catch up.

  2. Time-box the lessons learned

Lessons learned is where closing meetings run over. Give each person one minute, write the points on the screen, and move on. Debate belongs in a separate session.

  3. Get a clear sign-off, in the room

Do not leave sign-off to email. Ask the sponsor directly, record the answer and any conditions, and name who checks the conditions.

  4. Close with a read-back

Read every decision and action item aloud with its owner and date. If someone corrects it, you caught a misunderstanding while everyone is still there.

Capture the sign-off and the open items without taking notes

A closing meeting produces the record people point to later: who signed off, what was left open and who owns it. Speak AI joins the call, records it and writes the transcript, so the facilitator can run the room instead of typing.

  • Record the closeout on Zoom, Google Meet or Microsoft Teams, or upload the file afterwards.
  • Get a searchable transcript with speakers labelled, so the sponsor's sign-off is easy to find.
  • Get an automatic summary of results, decisions and lessons learned.
  • Get action items with owners and dates pulled out of the conversation, ready to copy into your tracker.

Preguntas frecuentes

What is the purpose of a closing meeting?

A closing meeting formally ends a project, phase or event. It confirms what was delivered, records the results, lists anything still open with an owner, and gets sign-off so the team can stand down without loose ends.

How long should a project closing meeting be?

Sixty minutes works for most projects: five to open, about thirty on delivery, results and lessons, then open items, sign-off and next steps. Small projects can run 30 minutes by cutting the recognition and results items to a few lines.

What should be on a project closeout meeting agenda?

Purpose, delivery against scope, results against the original targets, lessons learned, open items and handover, stakeholder sign-off, recognition and next steps. Each item needs an owner and a time limit.

How do you end a meeting well?

Read back the decisions and action items with their owners and dates, say when the written summary will be sent, and thank people for something specific. Ending on a clear next step beats ending on 'any other business'.

Who should attend a closing meeting?

The sponsor or decision maker, the project lead, the leads of each workstream, the person who takes over the work, and the client or key stakeholder if they need to sign off.
