How to run this meeting

  1. Write the matter neutrally

Describe the dispute in one sentence that both parties would accept, for example 'handover of refund requests between two teams'. If you cannot, ask them to agree the wording at the start.

  2. Give each account the same space

Record both accounts in about the same number of lines. Attribute opinions ('Party A said') and write only checked facts as facts. This is what keeps the minutes fair.

  3. Read the agreed terms back before closing

Read each term aloud with its owner and date and ask both parties to confirm. If either hesitates, record the point as not agreed rather than leaving it vague.

  4. Restrict who gets the minutes

Send them only to the people listed under Confidentiality, ask for corrections within 48 hours, and store them in an access-controlled folder, not a shared team space.

Preguntas frecuentes

What should conflict resolution meeting minutes include?

The matter, date, who was present, each party's account in neutral wording, points agreed and disputed, options considered, the agreed terms with owners and dates, the follow-up date, and who may receive the minutes.

What are the 5 C's of conflict resolution?

Models differ, but a common set is communicate, clarify, compromise, collaborate and commit. In minutes, they show up as each side's account, agreed facts, options, the terms both accept, and the follow-up date.

What is a good example of conflict resolution?

Two teams disagree about late handovers. A facilitator hears both accounts, separates facts from opinion, and the teams agree a required form field and a weekly review. The minutes record the terms and a check-in date.

Should conflict resolution minutes be confidential?

Yes. Agree before the meeting who may see them, usually the two parties, the facilitator and HR. Store them in a restricted folder and state the rule in the header so nobody forwards them by mistake.

How are mediation minutes different from regular meeting minutes?

Regular minutes track topics and tasks. Mediation minutes record both sides' accounts evenly, what is agreed and what is not, the exact terms, and a follow-up date, and they are written to stay neutral and private.
