How to run this meeting

  1. Start the clock in the first line

Write the time the meeting started and the time the problem was first raised. In an emergency, the order and timing of events is the part people ask about later.

  2. Separate fact from assumption

Mark each statement as confirmed or unconfirmed as it is said. A minute that says the cause is a database change reads very differently from one that says it may be.

  3. Write decisions and actions as you go

Do not wait until the end. Note each decision with its time and owner while it is fresh. You can tidy the wording after, but you cannot reconstruct a missed decision.

  4. Send a short version within the hour

Circulate the decisions and actions to everyone affected within an hour, and the full minutes within one working day. Name who signed off each decision.

Keep your attention on the incident, not the notes

In an emergency nobody has a free hand to type. Speak AI records the call and produces the record of who decided what, and when.

  • Record the emergency call on Zoom, Google Meet or Microsoft Teams, or upload the recording afterwards.
  • Get a transcript with speakers labelled, so you can show who made each decision and when.
  • Get an automatic summary of the cause, impact and decisions to paste into the minutes.
  • Get action items with owners pulled out of the call, ready to copy into your incident tracker.

Domande frequenti

How do you write meeting minutes?

Record the date, attendees and purpose, then list each topic with the decision made and any action with its owner and due date. Write in short, past-tense sentences and leave out who said what unless it matters. Send the draft within one working day.

What should emergency meeting minutes include?

The reason the meeting was called, the time it started, who attended, the current status and impact, decisions with who made them, communication plans, and actions with owners and deadlines. Note what was unconfirmed.

How do I start the minutes of a meeting?

Open with the meeting title, date, start time, location or link, the chair, the minute taker and who is present. Then record that the chair called the meeting to order and why it was called.

Can ChatGPT make meeting minutes?

A chat tool can tidy notes you paste in, but it does not hear the meeting. A meeting notetaker such as Speak AI records and transcribes the call itself, so the summary and action items come from what was actually said.

How soon should emergency meeting minutes be sent?

Send a short list of decisions and actions within an hour, while people are still acting on them. Circulate the full minutes within one working day and ask for corrections within 48 hours.
