How to run this meeting

  1. Keep it loose but time-boxed

A powwow works because it feels easy. Hold the 30-minute line anyway. The time limit is what keeps a casual chat from turning into a meeting nobody wants.

  2. Let everyone speak before anyone solves

Take the round of priorities first. Problems come up naturally in the round, and you can pick the best ones for the stuck points slot instead of fixing things one at a time.

  3. Write every ask down with a name

In a casual setting, 'someone should look at that' means nobody does. Put a first name and a day beside each ask as it is said.

  4. Post the actions right after

Share the short list in the team channel within the hour. That is all the follow-up a powwow needs, and it proves the time was well spent.

Catch the asks and ideas without breaking the mood

Informal huddles throw up good ideas and small promises that are gone by Friday. Speak AI joins on Zoom, Google Meet or Microsoft Teams, or takes an uploaded recording, so nobody has to type through the conversation.

  • Record the powwow, in person with an upload or on a video call, and keep it in your library.
  • Get a transcript with speakers labelled, so you can find who offered to take what.
  • Get an automatic summary of news, priorities and ideas to post to the team.
  • Get action items with names pulled out, so small promises make it onto the list.

Domande frequenti

What is a powwow meeting in business?

It is an informal team huddle used to share news, align on priorities and sort out small issues quickly. It is less structured than a formal meeting, but it still works best with a short agenda, a time limit and a list of actions.

What is the standard format for a meeting agenda?

A header with date, time, place and attendees, then a list of items with a time, an owner and the outcome wanted. Finish with action items listing who does what and by when. The powwow agenda above follows that pattern.

Is there an agenda template in Word?

You can copy the agenda above as text and paste it into Word, Google Docs or any notes app. You can also print it as a page. The table keeps its columns, so you can edit times and owners directly.

What should be included in the agenda for a project meeting?

Progress against milestones, blockers with owners, decisions needed, risks, and next steps with dates. For a quick powwow, replace milestones with each person's top priorities for the week and leave detailed planning to a separate session.

How long should a powwow last?

Thirty minutes is enough for a team of up to eight. Under ten people, you can shorten it to 20. If it regularly runs over, move the stuck points to a separate working session.
