How to run this meeting

  1. Tie the activity to a real working problem

Activities that feel pointless get eye rolls. Pick exercises that reveal how the team actually works, and say how the result will be used afterwards.

  2. Make it safe to pass

Let people skip an exercise without explaining. Forced sharing builds resentment, and quieter people join in more when they know they can opt out.

  3. Debrief every activity with two questions

Ask what you noticed and what it means for how you work. The debrief is where the team building happens, not the game itself.

  4. Follow up in six weeks

A team agreement is only useful if someone checks it. Put a review on the calendar before the session ends.

Keep the team agreement without a note taker in the circle

In a team building session you want everyone present, not typing. Speak AI records the call or an uploaded audio file and drafts the agreement points and actions for you.

  • Record the session on Zoom, Google Meet or Microsoft Teams, or upload audio from an in-person session.
  • Get a transcript with speakers labelled, so each person's working style is captured in their own words.
  • Get an automatic summary of the working agreements and the debrief points.
  • Get action items with owners and dates, such as who posts the agreement and when you review it.

Gyakran ismételt kérdések

What is a good template for a team meeting agenda?

Open with a quick check-in, review last week's actions, cover the two or three topics that need discussion, share blockers, and close with owners and dates. Thirty to 45 minutes is enough for most weekly team meetings.

What is a good format for a meeting agenda?

A table with four columns: time, item, owner and desired outcome. Order items by importance, give each a time limit, and end with a slot to read back decisions and actions.

What are some good topics for a team meeting?

Progress against goals, blockers, upcoming deadlines, decisions needed, a process that is not working, customer feedback, and recognition for a teammate. Leave out updates that could be sent in writing.

Is there a meeting agenda template in Word?

You can copy this agenda as text and paste it into Word, Google Docs or any notes tool. Replace the example entries with your own team, goal and activities, then print or share it.

How to do an agenda in a Teams meeting?

Paste the agenda into the Microsoft Teams meeting invite description before you send it, and share the same text in the chat at the start. Speak AI can join the Teams call and record it, so you also get a summary afterwards.
