How to run this meeting

  1. Hold it within the hour

A post-meeting follow-up loses value after a day. Block 15 minutes straight after the main meeting so memories and decisions are fresh.

  2. Invite only the people who own actions

Keep it to the facilitator, the note taker and the action owners. The rest of the attendees read the summary.

  3. Check the record against the recording

If you recorded the meeting, check any decision the group is unsure about against the transcript instead of arguing from memory.

  4. Send the summary before you leave

Share decisions, actions, owners and dates in one message the same day, and ask for corrections by the next morning.

Make the post-meeting follow-up almost automatic

Most of a follow-up is checking what was decided and who owns it. Speak AI records the main meeting and drafts the summary and action list for you to confirm.

  • Record the original meeting on Zoom, Google Meet or Microsoft Teams, or upload the recording afterwards.
  • Get a searchable transcript with speakers labelled, to settle what was actually said.
  • Get an automatic summary of decisions to read out in the follow-up.
  • Get action items with owners and dates, ready to confirm and send to the team.

Gyakran ismételt kérdések

What should be on a post-meeting agenda?

Confirm decisions, assign actions with owners and due dates, list open questions, agree who gets the summary and when, and set the next meeting. Keep it to 15 minutes with only the people who own actions.

What is a post-meeting structure?

A short sequence after a meeting: review the record, confirm decisions, assign actions, flag open questions, send the summary and schedule the next check. It turns a discussion into agreed work.

What are the 5 P's of a meeting agenda?

Purpose, product, people, process and preparation. For a post-meeting agenda: why you are following up, the summary and actions you will produce, who needs to attend, the order of items and the notes to bring.

What are 5 things you would include in a meeting agenda?

The purpose, a list of topics with times, the person leading each, the decision or outcome needed from each topic, and any pre-reading. Add action items and next steps at the end.

How soon should you send a post-meeting summary?

The same day, ideally within a couple of hours. Include decisions, actions with owners and dates, and open questions. Ask for corrections within 24 hours so the record can be treated as final.
