How to run this meeting
-
Send the agenda two days ahead and ask for additions
Email the agenda with the previous call's open actions. Ask the client to add one item of their own so the call covers what they care about, not only what you want to report.
-
Put their priorities before your update
Start with what has changed on the client's side. A new deadline or a new stakeholder can make half of your prepared update irrelevant.
-
Ask for decisions with a date, not for feedback
For each blocker say what you need, from whom and by when, and what slips if it does not arrive. Record the answer on the call.
-
Send a written summary the same day
Clients remember a prompt, clear summary. List decisions, actions on both sides and the next date, and ask them to reply only if something is wrong.
Keep a reliable record of what the client asked for
Client calls decide scope, dates and who owes what, and disagreements later start with 'I thought we agreed'. Speak AI joins the call on Zoom, Google Meet or Microsoft Teams, or takes an uploaded recording, so you can host the call instead of typing.
- Record the client call and keep it in a searchable library next to the engagement.
- Get a transcript with speakers labelled, so each client request is attributed to the right person.
- Get an automatic summary of progress, decisions and open questions to send the same day.
- Get action items with owners pulled from the call, split between your team and the client.

Perguntas frequentes
What should be on a client meeting agenda?
Goals for the call, the client's priorities and news, progress against the plan, results against agreed measures, issues and decisions needed, the client's open questions, and a recap with the next date. Give each item an owner and a time limit.
How long should a client meeting be?
Forty-five minutes suits a regular status or review call. Kickoffs and quarterly reviews usually need 60 to 90. If an item will take longer than ten minutes, move it to its own call and keep the status meeting short.
How do you structure a good client meeting?
Open with the goal, let the client speak first, show progress and results briefly, spend most of the time on decisions and blockers, and close by reading back actions with owners and dates. Send the summary the same day.
What is a good format for a meeting agenda?
A table with time, item, owner and an expected outcome, plus a header with date, link and attendees. It lets people see who speaks when, and what each item should end with: a decision, an action or an update.
Should you send the agenda to the client before the meeting?
Yes, at least a day ahead. It shows the client what you will cover, lets them add items, and means they can bring the right person. Include last call's open actions so nothing is forgotten.
