How to run this meeting

  1. Send the board pack a week ahead

Circulate reports, the dashboard and papers for decision at least seven days before. Say plainly in the cover note which items need a vote and which are for noting.

  2. Put decisions before reports

Take votes while members are fresh and quorum is certain. Use a consent agenda for routine items so the meeting spends time on the three or four that need discussion.

  3. Record the motion, not the debate

Minutes need the exact wording, the mover, seconder and result, plus any declared conflicts. Summarize discussion in one or two lines. Detail invites disputes and legal risk.

  4. Review the action tracker every time

A governance body is judged by whether it follows through. Walk the tracker at the start and close each action with a named owner and a date.

An accurate record of motions, votes and conflicts

Governance minutes have to be right, and a secretary cannot take notes and follow a debate at the same time. Speak AI joins on Zoom, Google Meet or Microsoft Teams, or takes an uploaded recording, and gives you the material to write precise minutes.

  • Record the meeting and keep it searchable, so you can check the exact wording of a motion.
  • Get a transcript with speakers labelled, so declarations of interest and votes are attributed correctly.
  • Get an automatic summary of decisions and discussion to draft the minutes from.
  • Get action items with owners and dates pulled out, ready for the next meeting's action tracker.

Preguntes freqüents

What should be included in the agenda for a governance meeting?

Call to order with quorum and conflicts of interest, approval of the agenda and prior minutes, matters arising, performance and finance reports, risk and compliance, items for decision, committee reports, any closed session, and the next meeting date.

How do I write the agenda for a board meeting?

List each item with a time, an owner and its purpose: decide, discuss or note. Put decisions early, attach papers a week ahead, and use a consent agenda for routine items so discussion time goes to what needs it.

What are examples of good meeting agendas?

Good agendas have timed items, named owners and a stated outcome for each. The governance agenda above shows one: ten items in 90 minutes, each with an example entry so the secretary knows what to record.

How long should a governance meeting be?

Ninety minutes to two hours is typical for a board meeting. Move committee work into committees, circulate reports in advance and use a consent agenda, and the full board can decide in under two hours.

What are 5 things you would include in a meeting agenda?

The purpose, a time for each item, a named owner for each item, the outcome wanted (decision, discussion or note) and a place to record actions. For governance, add quorum and conflicts of interest as a standing first item.
