How to run this meeting

  1. Fix the time and stand by it

Pick one start time and a 15-minute hard stop. A meeting that ends on time every day earns attention. If updates run over, the problem is the length of updates, not the clock.

  2. Rotate the facilitator weekly

Give the role to a different person each week. It spreads ownership, and people who run the meeting stop treating it as a status report to the boss.

  3. Use a fixed order for updates

Go round in the same order or use the roster in the header. Predictable order means nobody has to wait to be called and nobody gets skipped.

  4. Park every discussion over one minute

When an update turns into a debate, write it in the parking lot with the people needed and a time. Pull only those people in afterwards.

Skip the typing and keep the blockers

A 15-minute check-in surfaces blockers that are forgotten by lunchtime. Speak AI joins on Zoom, Google Meet or Microsoft Teams, or takes an uploaded recording, and gives you a short written record.

  • Record the daily call, even for a remote or hybrid team, and keep every day in one library.
  • Get a transcript with speakers labelled, so each person's update is easy to find.
  • Get an automatic summary listing priorities and blockers you can post in the team channel.
  • Get action items with owners pulled from the call, such as who is unblocking whom.

자주 묻는 질문

What's a good check-in meeting agenda?

Start on time, give each person 30 to 60 seconds for yesterday's result, today's priority and any blocker, add a short notices item, then list parking-lot topics with names and times. Keep the whole thing to 15 minutes.

How long should a daily check-in meeting be?

Fifteen minutes is the usual limit. For a team of six that is about 90 seconds a person with some time left for notices. A larger team should split into smaller check-ins by project.

What is the 40/20/40 rule for meetings?

It is a rule of thumb: spend about 40 percent of your effort on preparation, 20 percent on the meeting itself and 40 percent on follow-up. For a daily check-in that means a clear format before, a short call, and blockers actually chased afterwards.

What are 5 things to include in a meeting agenda?

The purpose, a time for each item, an owner for each item, the outcome you want from it (decide, update or discuss) and a place for follow-up actions. The daily check-in agenda above covers all five in six lines.

Should a daily check-in be held at the same time every day?

Yes. A fixed slot, such as 9:15 each morning, becomes a habit and avoids calendar negotiation. If your team spans time zones, hold two short sessions or use a written update in the channel instead.
